Board of Directors Meeting Minutes

September 9, 2008

President Alex Kaiser called the meeting to order at 5:05

Members present:  Alex Kaiser, Frank Smith, Anna Waite, Paul Le Beau, Marion Hinchy, Bev Trudeau, Irene Lowe, Deane Curtiss, Steve Dawson, Dophie Poiset.

Members absent:  Kathy Stumm

Member Input:  A note in the suggestion box requested that an automatic coffee machine be purchased so that coffee is immediately available upon the clubhouse opening at 8:00 AM.  The Board did not feel this was a necessary expenditure since our present coffee machine is in working order.

Membership – Bev Trudeau

Bev and Alex attended the Association Board Meeting on Thursday, September 4 to present the amended Tennis Club Plan of Operation.  They were approved in substance with some minor revisions.   The final version will go before the Association Board on Sept. 18 for approval.   No Tennis Board presence is necessary.

The Board would like to welcome the following new members to the Tennis Club: William & Victoria Hanlon (Family), William & Amy Koman (Family), Mark Olman & Susan Weber (Family), Carol Hulce (Single), John Ingalls (Single) and Julia Wolf (Junior).

Treasurer – Deane Curtiss, Committee – Paul LeBeau

Deane reported that due to our new enrollments our revenue is ahead of schedule and our social fund has a surplus.    We will use this surplus to subsidize upcoming social events to attract more members. 

Paul presented an assessment from CH Court Tech on the current status of our courts as well as estimates for repairs. Paul will present to the Board next meeting his recommendations for a 5 year maintenance plan.

Events – Anna Waite and Irene Lowe

The tennis mixer on Sunday, August 24 was a big success.  Thank you to Irene Lowe, Coach Kamul and Coach Derek for a great event.

Irene and Anna presented a schedule for upcoming events which will be posted on our website.  The calendar features one event every month through May. 

Our next event is Rancho Days on September 27 from 1-4 PM.  This function includes tennis and a barbeque. All residents of the Covenant are invited to participate.

Building and Grounds – Marion Hinchy

The resurfacing of courts 3, 4 and 11 is complete.  Wind screens are currently being installed on courts 1, 2, 3 and 4.  The fire department has requested that we restrict parking to designated parking spaces.  Parking in front of the planters and alongside the driveway is not permitted as it impedes emergency vehicle access.

Club Operations – Steve Dawson and Dophie Poiset

Dophie reported that our tree trimming service suggested waiting until November, when the sap is down, to trim the trees between courts 4 and 7.   New dues and fee cards will soon be available at the front desk.   

In response to member concerns Steve has instituted a new lesson policy.  Prime time       (Monday thru Saturday from 7:30 – 11 AM) is reserved for member lessons only.  No non-member lessons will be given during this time.  All Junior and Adult Clinics will be limited to 1 non-member per court with the exception of the beginner tennis clinic on Tuesday.  Steve has begun a Tennis Academy for the junior members.  For the price of a one-half hour private lesson they receive two and one-half hours of play including instruction, drills and game play.  This new program has been a huge success.

Publicity/Website – Frank Smith

Frank will be posting a newsletter on our website.  All Board Members will submit an article.  Frank will also post the names of all our new members.

Golf Club Liaison – Kathy Stumm
